Recertifying your Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation is an important part of maintaining your professional standing and staying aligned with evolving payroll requirements. Even though it’s only required once every few years, understanding the timing and expectations behind the process makes it easier to plan and avoid any complications.

As we are still in the first quarter of 2026, this is a suitable time for payroll professionals to review their recertification cycle and ensure they are prepared for the year ahead.

Understanding Your Recertification Cycle

Every certification follows a cycle that ends on December 31 of your expiration year, and all recertification credit hours (RCHs) must be earned by that date. An FPC must complete 60 RCHs every three years, while a CPP must complete 120 RCHs every five years.

Credits can be earned through PayrollOrg education, chapter events, and approved third-party training programs listed on PayrollOrg’s website in the Approved Providers Lists. In addition to traditional learning activities, certificants may also convert qualifying continuing education units (CEUs) completed through a college or university toward their RCH requirement.

To qualify, the content must fall within the payroll industry or align with the content outline used for the exams. To verify your expiration year, simply log into your PayrollOrg account and review your Recertification Log. This allows you to view your current certification status, cycle dates, and any recorded credits.

Submitting Your Recertification Log

Once your credits are completed, submit your recertification log through your PayrollOrg account. Logs may be submitted beginning June 1 of your recertification year, and the standard recertification fee is required at the time of submission. After submitting your log, it becomes locked and is routed to PayrollOrg’s Certification Department for review.

This review typically takes 10 to 12 weeks, and you can monitor your progress at any time through your Certification Dashboard. Submitting your log before the end of your expiration year is recommended to ensure timely processing, although logs submitted on December 31 of your expiration year are still considered on time.

Important note: If your log still appears in an editable state in your online account, it has not been submitted for review. A successfully submitted log will show an “Active Application” status on your Certification Dashboard.

So, your certification expires on December 31, but your recertification log isn’t ready. Don’t panic—your opportunity to recertify doesn’t end there.

You have the entire following year to complete the process. For example, if your certification expires on December 31, 2026, you may still submit your recertification log at any point during 2027.

The first portion of that year includes a late submission window, which runs from February 15 through May 31. Your log is still accepted during this time, but a late fee is added to the standard recertification fee.

If your log hasn’t been submitted by June 1, you enter the reinstatement period, which extends through December 31 of the following year. Reinstatement requires the standard recertification fee, the late fee, and a reinstatement fee, and all reinstatement submissions are automatically audited.

This means documentation for every RCH must be uploaded at the time of submission. Once approved, your certification returns to active status with no lapse reflected in your certification record.

If you have not submitted your recertification log by December 31 of the following year of your expiration date, your designation becomes inactive. At that point, the only path back to active status is to retake and pass the exam.

Additional policy details can be found in the FPC or CPP Handbooks.

Recertifying by Examination

Recertification may also be completed by examination. Candidates choosing this route must take and pass the exam before their certification expires and must test within the standard exam windows posted by PayrollOrg.

A passing score initiates a new certification cycle. Details about testing dates and registration are available on PayrollOrg’s Certification Testing Windows webpage.

Managing Your Submission, Status

All recertification activities are handled through your PayrollOrg account (“My Account” on the PayrollOrg home page). From the recertification log, you can enter RCHs, submit your log, and monitor your approval status.

The Certification Dashboard will update automatically as your submission moves through the review process, and PayrollOrg’s Certification Department will reach out if additional documentation is needed.

Why Staying Certified Matters

Recertification is more than a procedural step; it demonstrates your commitment to excellence, accuracy, and professionalism in a field where laws, regulations, and practices are constantly evolving. Whether you submit during your expiration year, make use of the late window, or rely on reinstatement, staying aware of the timeline ensures you never risk losing the credential you worked hard to earn.

A little organization throughout the year keeps the process simple and protects your certification without unnecessary stress. If you have any recertification questions, email [email protected] for assistance.
